REQUEST FOR QUOTATIONS (RFQ)
Procurement, Installation and Support of QuickBooks Accounting Software Katalemwa Cheshire Home for Rehabilitation Services (KCH) invites sealed quotations from eligible and competent firms for the supply, installation, configuration, and support of QuickBooks Accounting Software.
1. Background
Katalemwa Cheshire Home for Rehabilitation Services (KCH) is a non-governmental organization providing comprehensive rehabilitation services to children with disabilities in Uganda.
In line with strengthening financial controls, accountability, donor reporting, and operational efficiency, KCH intends to procure and implement QuickBooks Accounting Software to enhance its financial management systems.
2. Scope of Assignment
The selected vendor shall undertake the following:
- Supply, Installation & Configuration
- Supply of licensed QuickBooks software
- Installation and full system configuration
- Customization of the chart of accounts aligned to KCH reporting structure
- Setup of user roles and access controls
- Configuration of core modules including:
- General Ledger
- Accounts Payable
- Accounts Receivable
- Budgeting
- Financial Reporting
- Data Migration
- Secure migration of financial data from the existing accounting system
- Data validation and reconciliation
- System testing to ensure completeness and accuracy
- Training & Capacity Building
- Comprehensive training for finance and relevant staff
- Provision of user manuals and system documentation
- Support during transition and rollout period
- Maintenance & Technical Support
- Provision of post-installation technical support
- System updates and troubleshooting (remote and/or on-site support)
3. Eligibility & Submission Requirements
Interested bidders shall submit:
- Company profile including legal registration details
- Valid trading license
- Evidence of tax compliance (where applicable)
- Technical proposal detailing:
- Understanding of the assignment
- Implementation methodology
- Proposed timeline
4. Financial proposal (submitted separately) clearly itemizing:
- Software licensing costs
- Installation and configuration costs
- Data migration costs
- Training costs
- Maintenance and support fees
- Evidence of at least three (3) similar assignments undertaken
- Reference contacts
5. Evaluation Criteria
Evaluation shall be conducted in accordance with KCH Procurement Guidelines and will consider:
- Compliance with mandatory requirements
- Demonstrated experience with QuickBooks implementation
- Technical responsiveness
- Implementation timeline
- Cost effectiveness and value for money
- Quality of after-sales support
KCH may invite shortlisted bidders for clarification meetings if necessary.
6. Submission Procedure
Quotations must be clearly marked: “KCH-RFQ20260001 – QuickBooks Accounting Software”

Submission Deadline: February 26th, 2026 5:00PM
Late submissions shall not be accepted.

KCH reserves the right to accept or reject any quotation in whole or in part and is not bound to give reasons for its decision. This RFQ does not constitute a contractual obligation on the part of KCH.
